Cancellation & Appointment Policy

At EMDR Brisbane, your appointment time is reserved exclusively for you. When an appointment is missed or cancelled at short notice, that time cannot usually be offered to another client who may be waiting for care. This policy explains our notice requirements, the fees that may apply, and how to cancel or reschedule. By booking an appointment with us, you agree to the terms set out below.

1. Notice required

We ask that you provide at least 24 hours’ notice if you need to cancel or reschedule your appointment. This allows us to offer the time to another client who may be waiting for an appointment.

Notice of 24 hours or more allows you to cancel or reschedule without any fee.

2. Cancellation fees

Where the required notice is not provided, the following fees apply:

Based on our standard fee of $215 per 50-minute session, a late-cancellation or non-attendance fee is currently $107.50. Cancellation fees are payable before or at your next appointment.

3. How to cancel or reschedule

If you need to cancel or change your appointment, please contact us as early as possible:

If you reach our voicemail, please leave a message with your name and appointment time. The time and date of your message will be used to determine whether the required notice has been given.

4. Late arrivals

If you arrive late to your appointment, we will do our best to see you; however, your session may need to finish at the originally scheduled time so that following clients are not delayed. The full session fee will still apply, as the time was reserved for you.

5. Rebates, funding and cancellation fees

Cancellation and non-attendance fees cannot be claimed against Medicare, a Mental Health Care Plan, private health insurance, the NDIS or WorkCover. Where a fee applies, it is payable by you personally.

Please also note that funded sessions — such as those under a Mental Health Care Plan, an Eating Disorder Treatment Plan, an NDIS plan or a WorkCover claim — that are missed or cancelled late may still count toward, or affect, the sessions available under your plan. We encourage you to keep this in mind when managing your appointments.

6. Exceptional circumstances

We understand that genuine emergencies, sudden illness and other unforeseen events occur. Cancellation fees may be waived or reduced at the discretion of your psychologist where there are reasonable circumstances beyond your control. If this applies to you, please let us know as soon as possible so we can discuss your situation.

7. Appointment reminders

As a courtesy, we may send you a reminder before your appointment by SMS or email. Reminders are a courtesy only; responsibility for attending or cancelling your appointment within the required notice period remains with you, regardless of whether a reminder is received.

8. Our commitment to you

This policy applies equally to us. If we ever need to cancel or reschedule your appointment, we will give you as much notice as possible and offer you the earliest suitable alternative time. We value your trust and aim to make managing your appointments as straightforward as possible.
